Pressure Washing Software: The Complete Guide for Pressure Washing and Soft Washing Companies

Most pressure washing companies start the same way. One truck, one trailer with a tank and a pump, a surface cleaner, a few hundred feet of hose and a phone full of customer texts. That works for the first season. By the second, the texts are buried, the quotes are on scraps of paper, and the owner is the only person who knows which storefront was due last week. This guide walks through what pressure washing software does, piece by piece, so you can decide what your company actually needs.

What Pressure Washing Software Is For

Pressure washing software is the one place where your customers, their addresses, the work you do at each address, your schedule and your money all live together. Instead of a notebook for quotes, a calendar app for jobs, a group text for the crew and a separate tool for invoices, it is one system from the first phone call to the paid invoice. For an overview of how PressureWashingBossPro handles all of it, see the pressure washing software page.

The test of good software is simple: does it save more time than it takes? A system that asks you to type the same address three times, or that has no place for the details of a wash, will get abandoned by July. A system that remembers everything and puts it in front of the right person at the right time will get used every day.

Job Details: The Heart of a Washing Job

A plumbing call is an address and a problem. A pressure washing job is more. It is a list of surfaces (house wash, roof soft wash, driveway, sidewalk, patio, deck, fence, pool deck, gutter brightening, storefront, drive-thru, dumpster pad, parking garage, fleet), a size in square feet, a number of stories, a siding or surface type (vinyl, brick, stucco, wood, fiber cement, stone, concrete) and a method (soft wash, pressure wash, hot water, surface cleaner).

In PressureWashingBossPro, those details sit on every job and show right under the address on the lists and on the crew's phone, like this: “House Wash, Driveway · 3,800 sq ft · 2-story · Vinyl · Soft Wash.” Access notes go with them: where the spigot is, the gate code, the dog, which plants to pre-wet and cover, which cars need moving. The full breakdown is in Job Details on Every Job: Surfaces, Square Feet, Stories, Siding and Method.

Measuring and Quoting

Before anyone washes anything, somebody has to quote it. The property map in PressureWashingBossPro measures square feet and linear feet from the satellite view, so you can trace a driveway, a roof or a fence line from the office. Estimates can price off a property's measurements, and they are built from your own service list: house wash, roof soft wash, driveway and walks, deck, fence, patio, gutter brightening, rust and gum removal, storefront monthly, drive-thru, dumpster pad, parking garage, fleet, or whatever you set up.

The customer approves the estimate online. The approved estimate becomes the scheduled job, and the job details you entered on the estimate carry over. Nobody retypes the square footage. Estimate follow-up messages go out for quotes that sit unanswered, and estimate templates and packages save time on common combinations like a house wash plus driveway.

Residential, Commercial and Recurring Work

Many washing companies run two businesses under one name. Residential work is mostly one-time or yearly: house washes, roofs, driveways, decks and fences. Commercial work is mostly recurring: storefronts and drive-thrus monthly, dumpster pads and parking garages on a set schedule, HOA common areas quarterly, fleets on whatever cycle the customer wants.

Recurring work in PressureWashingBossPro is set by minimum days between visits: 30 for monthly, 90 for quarterly, 365 for a yearly house wash. When a visit comes due, it lands on the Waiting List, a live map and list of everything that is due. Pins are colored by status: not due yet, due now, or overdue past a 7-day grace. You never have to remember that the taco shop drive-thru is due. It shows up. More on that in The Waiting List: How Pressure Washing Software Keeps Recurring Visits From Slipping.

Routes and the Crew App

The dispatch board shows jobs by day, filtered by rig. You can auto-route Closest First or Furthest First from the shop, set the route order by hand, save views, and print route sheets for anyone who still wants paper. A common setup is one rig on residential during the day and one on a commercial route early in the morning or after businesses close.

The crew app runs in the browser on iPhone and Android and installs to the home screen, with no app store involved. Operators log in with the company login and a personal PIN. They see the day's jobs in route order, tap the navigation button, read the job details and access notes on each card, check past notes, and tap Start, Skip or Complete. They take before-and-after photos. The customer gets automatic on-the-way and arrived texts. When the job is completed, the invoice is created and a card on file can be charged. The time clock is in the same app, and crew GPS shows on the office map.

The Customer Side

Customers get their own app. On the day of service they can see the route on a live map: “You're stop 12 of 20 — the crew is 5 stops away.” They can request service, sign up for services and see your pricing, update their card, see invoices and pay, and rate and refer you. They choose their own alerts: the night before, when they're next, and when the crew arrives.

From the office, two-way texting keeps conversations with customers in the software instead of on the owner's personal phone. Automated reminders go out by text and email. Every plan includes a monthly text allowance counted in segments sent and received: 500 on Start, 1,000 on Pro and 2,000 on Crew. Texting is included for the US and Canada.

Getting Paid

Invoices carry line items and sales tax. With a card on file, you can auto-charge when a job is completed or on a schedule. Customers can also pay online from the customer app, and past-due follow-up goes out on unpaid invoices.

Commercial customers with many locations get monthly account billing. A shopping center, a restaurant group or an HOA set to Monthly receives one statement each month covering every location, with each line labeled with its address. That is far easier for their accounts payable person than a stack of separate invoices.

Clients, Imports, Reports and Roles

One client can have many addresses, which matters for a property manager or a restaurant owner with four locations. Tags and custom fields let you sort customers your way. CSV import brings your existing list in, and imported addresses are placed on the map automatically. Reports show the work done and money billed and owed. Office users get roles, and employees get PINs and rig assignments.

PressureWashingBossPro works in the US, Canada, Australia, New Zealand and the UK, and bills customers in their own currency.

Choosing, Setting Up and Pricing

When you look at any pressure washing software, bring a real job to the demo: a 2-story house wash with a driveway, a monthly drive-thru, and a commercial customer with three locations. Watch how each one gets quoted, scheduled, routed, completed and billed. If the software cannot hold the surfaces and square footage, it was not built for this trade. You can try the live demo before you sign up for anything.

Setup in the first week usually looks like this: enter your services and prices, import or type in your customers, add employees and rigs, set recurring plans on your commercial accounts, and run a few real jobs through the crew app before the busy days.

PressureWashingBossPro has three plans: Start at $59 a month, Pro at $89 and Crew at $199. The details are in Pressure Washing Software Pricing: What Start, Pro and Crew Include. Every plan starts with a 14-day free trial, and no credit card is needed to begin.
