Scheduling Pressure Washing Jobs: From Approved Estimate to a Day on the Board

Selling a house wash feels like the finish line. It is really the start of a short chain of steps: the job has to land on a day, on a rig, in an order that makes sense, with everything the crew needs to know written on it. When those steps happen in one place, nothing gets lost between the yes and the wash.

The Big Picture First

If you have not read the overview, Pressure Washing Scheduling Software: The Complete Guide to Booking, Routing and Running Every Rig covers every piece of scheduling from start to finish. This article zooms in on the very first step: getting a sold job onto the schedule.

In PressureWashingBossPro, jobs reach the board from three directions. Approved estimates, recurring visits that come due, and one-time jobs you add yourself. Each path ends at the same place: a job with a date and a rig.

Approved Estimates Become Jobs

When a customer approves an estimate online, the estimate becomes the scheduled job. You do not copy anything across. The services from your list — house wash, roof soft wash, driveway & walks, gutter brightening, whatever you quoted — carry over, and so do the job details.

That is the part that saves real time. If the estimator measured the driveway from the satellite view and noted 3,800 square feet of 2-story vinyl siding to soft wash, all of that shows on the job. Whoever schedules it can see at a glance whether this is a two-hour stop or a half day.

A tip from operators who do this well: fill in the job details on the estimate even when the customer only wants a price. It costs a minute at the estimate stage and saves a guess later when you are trying to fit the job into a Thursday.

Recurring Visits Come Due on Their Own

A monthly drive-thru or a yearly house wash does not need to be sold every time. You set each recurring service by minimum days between visits, and when that many days have passed since the last completed visit, the address shows up on the Waiting List map as due.

From the Waiting List you pick the visits you want on a given day, assign them to a rig, and they join the schedule like any other job. The full process is in The Waiting List Map: Scheduling Recurring Pressure Washing Visits as They Come Due.

One-Time Jobs and Call-Ins

Plenty of work arrives without a formal estimate. A repeat customer texts asking for the fence again. A neighbor walks over while you are on a driveway and asks if you can do theirs next week. For these, add the job straight to a day.

Take thirty seconds to fill in the surfaces and the rough size anyway. A job that only says an address and “driveway” looks the same on the board as a three-car driveway with a long sidewalk, and they are not the same job.

Choosing the Day

Picking a day is where owner judgment still matters. A few questions most operators ask themselves:

Choosing the Rig

If you run one rig, this step is easy. If you run two, assigning the rig is where you keep the day clean. A typical split is one rig on residential work and one on commercial. Some owners also split by equipment: the rig with the bigger surface cleaner gets the flatwork-heavy days, the rig set up for soft washing gets the roofs.

Once a job has a day and a rig, it shows on that crew's phone for that day, with the address, a navigation button, the job details and the access notes.

Then Put It in Order

A rig's day is not done until the stops are in order. Auto-route Closest First or Furthest First from the shop, then move any timed stop by hand. The crew's phone shows the same order, top to bottom.

The last step happens on its own. Customers who chose night-before alerts get one, and on the day, on-the-way and arrived texts go out as the crew reaches each stop.

Keep the Chain Short

The fewer places a job has to be copied, the fewer chances to lose a detail. Estimate, approval, job, day, rig, route: all on the same record. For how the rest of the scheduling tools fit around this, see the pressure washing scheduling software page.
