Collecting the Card at Sign-Up: Setting Up Pressure Washing Billing Before the First Wash
Billing problems usually start long before the invoice. They start when a new customer is added to the schedule with a name, a phone number and nothing else. The job gets done, and only then does anyone ask how the customer is going to pay. The fix is to settle billing at the moment the customer says yes.
Why the First Moment Matters
Auto-Charge on Completion: Pressure Washing Payments That Happen When the Crew Taps Complete described what happens when a card is already on file. This article is about how it gets there in the first place, ideally before the first wash.
A new customer who has just decided to hire you is at their most cooperative. They want the house clean before the graduation party, they have picked a date, and they expect to give payment details. Two weeks after the job, they are a busy person with a pile of bills. Asking for a card at sign-up feels like booking. Asking afterward feels like collections.
The Website Sign-Up Form
PressureWashingBossPro includes two kinds of web forms you can put on your website: a request form for people who want a quote, and a sign-up form for people ready to book a service. The sign-up form captures a card as part of signing up.
When someone fills it out, the sign-up lands in Form Responses in the office. One click converts the sign-up into a client, with the address and the card already attached. From there, the client can be scheduled like any other, and when the crew taps Complete on the first job, the card on file can be charged.
That works especially well for services with a clear price: a yearly house wash plan, a monthly storefront wash, a driveway and walks package. The customer picks the service, sees the price, enters a card and is done.
Approved Estimates
Bigger or custom jobs usually start with an estimate instead. The customer approves the estimate online, and the approved estimate becomes the scheduled job. That is a natural moment to make sure there is a card on file too.
The customer app lets customers add their own card, so the office can send a short text after approval: “Thanks for approving. You can add a card in the customer app and we will charge it when the job is complete.” Customers who would rather pay each invoice online can do that instead. Either way, you know how the job will be paid before the rig rolls.
Phone Bookings
Plenty of pressure washing work still books by phone. For those customers, the office can enter a card directly. A simple script helps:
- “We keep a card on file and charge it once the job is finished.”
- “You will get an itemized invoice by text or email the same day.”
- “If you would rather add the card yourself, you can do that in our customer app.”
Being plain about when the card gets charged answers the main objection before it is raised.
What Else to Set Up at Sign-Up
The card is the headline, but a few other billing details are easier to settle on day one than to fix later:
- Billing contact. For a rental or commercial property, the person who pays may not be the person at the address.
- Monthly or per-job. Commercial clients with several locations can be set to Monthly so they get one statement covering every address.
- Alert preferences. Night-before, when-they're-next and crew-arrived texts set in the customer app mean the customer knows when work is happening, so charges line up with visits they expected.
- Tags and custom fields. If you track how a customer heard about you or any billing notes, add them now.
Customers Who Will Not Leave a Card
Some customers will not leave a card, and some commercial accounts cannot. That is fine. They get an itemized invoice and can pay online from the customer app, or they get a monthly statement. What matters is that the decision was made up front, so nobody is surprised.
For bigger roof and commercial jobs, many owners also ask for a deposit before the job is scheduled. That is a policy choice, covered in Deposits on Big Roof and Commercial Jobs: A Pressure Washing Invoicing Policy That Holds Up.
Bill Before You Wash
Settling payment at sign-up means the first invoice gets paid like the hundredth: automatically, or with one tap in the customer app. PressureWashingBossPro captures cards on the website sign-up form, converts sign-ups into clients in one click and lets the office or the customer add a card any time. The rest of the billing tools are on the pressure washing invoicing software page.
Card Captured at Sign-Up
PressureWashingBossPro sign-up forms capture a card, and one click turns the sign-up into a client ready to schedule and bill.
