Mistakes Running Recurring House Wash Plans and How to Avoid Them

Yearly plans are the steadiest work a residential washing company can have, but they are easy to run badly. Most of the mistakes are not dramatic. They are small habits that slowly let customers drift, payments slip and crews repeat errors. Here are the ones that come up most often, and the simple fixes for each.

Mistake 1: Selling Plans but Not Setting Them Up

Add-ons on a plan visit are covered in House Wash Add-Ons: Gutter Brightening, Rust and Gum Removal on the Same Visit. Before adding to a plan, though, the plan has to exist.

The crew says “we'll see you next year” in the driveway, the customer agrees, and nobody sets the house to recur. Next spring, nothing comes due, and the customer wonders why you never came back.

Fix: When a customer says yes, the office sets the service to recur with 365 minimum days between visits the same day. A note on the job from the crew, like “customer joined yearly plan,” is the trigger.

Mistake 2: Plans Without a Card on File

A plan without a card turns every visit into an invoice to chase. Customers who get chased once a year start to feel like the plan is a chore.

Fix: Make the card part of joining. The sign-up form captures it; the customer app lets customers add or update it. Then plan visits can be charged when the crew taps Complete, as covered in Auto-Charging Plan Visits: Getting Paid for Recurring House Washes Without Chasing.

Mistake 3: Ignoring Overdue Pins

The Waiting List shows due visits and marks them overdue past a 7-day grace. In a busy spring, overdue pins pile up, and some sit for weeks. Those are the customers most likely to hire someone else.

Fix: Look at the Waiting List every week, overdue first. Text overdue customers, get them on a rig, or find out why they are stuck. Give one person the job of watching overdue pins.

Mistake 4: Thin Job Details

A plan house with only an address and “house wash” on it gets washed differently every year, depending on who shows up. One year the walk is done, the next it is not. One crew uses the right method on the stucco, the next does not.

Fix: Fill in the job details on every plan house: surfaces, square feet, stories, siding, method and access notes. They stay on the address and show on the crew's phone every visit. See House Wash Job Details: Square Feet, Stories, Siding and Method on Every Job.

More Mistakes Worth Avoiding

The Biggest Mistake: Running Plans From Memory

The biggest mistake of all is trying to run recurring plans from a spreadsheet, a notebook or the owner's head. It works for twenty customers. It falls apart at a hundred, and it falls apart all at once in the spring rush.

Fix: Put every plan customer into one system where visits come due on their own, show up on a map, send their own reminders and charge their own cards. If you are moving from spreadsheets and paper, a CSV import brings your customers in and places their addresses on the map automatically. Then set each plan house to recur, and let the Waiting List do the remembering.

Get the Basics Right

None of these fixes is complicated. Set the plan up, get the card, watch the overdue pins, keep the details full and the reminders on. Do those five things and most of the problems never appear.
