Setting Up a Yearly House Wash: How the 365-Day Plan Works

A yearly plan sounds simple: wash the house once a year. The details are where companies trip up. Does “yearly” mean the same date every year, or a year after the last wash? What happens when the crew gets rained out for a week? What if the customer asks to push it back? This guide explains how recurring house washes actually work in PressureWashingBossPro, so you can set them up once and trust them.

Minimum Days Between Visits

Recurring work in PressureWashingBossPro is set by minimum days between visits. That one number decides how often a visit comes due. Across a washing company it usually looks like this:

• Yearly house wash: 365 days
• Twice-a-year driveway under trees: around 180 days
• HOA common areas quarterly: 90 days
• Storefronts and drive-thrus monthly: 30 days

For residential plans, 365 is the common setting. You can set any number that suits the house and the customer.

Counted From the Last Visit

The days are counted from when the last visit was done, not from a fixed date on the calendar. That matters. If the crew washed a house on April 12 last year, the next visit comes due 365 days later. If this year's wash slips to April 20 because of rain, next year's due date follows the April 20 wash, so the customer never gets two washes too close together.

That is why it is called a minimum. A yearly customer will never be washed sooner than a year after the last wash unless you choose to.

What Happens When It Comes Due

Once the days run out, the visit comes due and appears on the Waiting List, the live map and list of every visit that has come due. Its pin changes color by status:

• Not due yet: the plan is active, the days are not up.
• Due now: the year is up and the visit should be scheduled.
• Overdue: the visit has sat past a 7-day grace without being done.

What Carries Over Each Year

The plan lives on the address, and so do the details. Square feet, stories, siding, method, surfaces and access notes all stay put. When the yearly visit comes due, the crew's phone shows the same line it showed last year: “House Wash, Driveway · 3,800 sq ft · 2-story · Vinyl · Soft Wash,” with the spigot location and the plants to cover underneath. Past notes from last year's crew are there too.

If something changed — a new deck, new siding, a new dog — update the address once and every future visit reflects it.

Setting One Up

A practical setup checklist for a new yearly customer:

• Make sure the client record has the right address and contact info.
• Confirm the job details are complete: surfaces, square feet, stories, siding, method.
• Add access notes the next crew will need.
• Set the service to recur with 365 minimum days between visits.
• Get a card on file so plan visits can be charged when the crew taps Complete.
• Check the customer's alert preferences for reminders.

That is a few minutes of work for a customer who may come back for years. If you have a batch of last year's customers to put on plans at once, work through them in one sitting at the start of the slow season, so they are all ready before spring.

When a Customer Wants a Different Timing

Some customers want the wash every spring before graduation parties. Others want it after pollen season. Since due dates follow the last visit, the simplest way to move a plan earlier or later is to schedule this year's visit when the customer wants it. Next year's due date follows. If a customer wants a different gap altogether, change the minimum days.

One-time jobs work too. Not every customer wants a plan, and a one-time job simply does not come due again.

The Plan Is the Memory
