Time Clock and Crew GPS in Pressure Washing Software

The first hourly employee changes how an owner thinks about the day. Suddenly there are hours to track, a payroll to run, and a rig out there that you are not driving. Two small tools in the crew app make that easier: the time clock and crew GPS.

Part of the Same Crew App

Each operator logs in with the company login and their personal PIN, as covered in User Roles in Pressure Washing Software: Office Logins, Crew PINs and Rig Assignments. The time clock lives in that same app, so there is nothing extra to install and no separate punch system to manage.

The Time Clock

Operators clock in and out on the phone they are already using to run their route. Hours are recorded as they happen, tied to the person by their PIN.

That fixes a few common problems:

A good habit is to clock in at the shop when the rig is being loaded, not at the first job. Loading tanks, checking the pump and hitching the trailer are part of the workday.

Clocked Time and Job Time Together

Because the crew taps Start and Complete on each job in the same app, you can see both the overall day and the time spent at each property. Over a season, that tells you which jobs take longer than you priced them for.

For example, if 2-story stucco house washes keep running much longer than 2-story vinyl ones, the job details on each card make that easy to spot. That is useful information for your next round of estimates.

Crew GPS on the Office Map

Crew GPS shows on the office map, so whoever is in the office can see where each rig is. That helps with the questions that come up every day:

The customer can see a version of this too. In the customer app, they see the route on a live map with their place in line: “You're stop 12 of 20 — the crew is 5 stops away.” That alone cuts down on calls.

Using GPS Fairly

Location tracking makes some employees uneasy. A few simple practices keep it fair:

Operators usually warm to it once they see it means fewer calls from the office asking where they are.

Payroll Without the Paper Chase

At the end of a pay period, the hours are already recorded. Instead of collecting crumpled timesheets or texting each operator for their hours, the office reviews the clock-ins and clock-outs and fixes the occasional forgotten clock-out before running payroll in whatever way you already do.

Missed clock-outs happen, especially on long days when an operator drops the rig at the shop and heads straight home. Make a quick daily habit of checking that everyone clocked out, and the weekly review stays short.

Safety and Peace of Mind

Rigs work in heat, on ladders and roofs, often alone. Knowing where each rig is during the day gives the office a starting point if someone is not answering their phone. It is a simple comfort for the owner and for families at home.

When It Starts to Matter

For a one-rig owner-operator working alone, the time clock is optional and GPS mostly matters to the customer app. The moment a second person works a rig without you, both become useful. That shift is the subject of the next guide, Pressure Washing Software for the One-Rig Owner-Operator, followed by a look at running several rigs.
