Past-Due Pressure Washing Invoices: A Follow-Up Routine That Gets Paid Without Burning Bridges

Most pressure washing customers pay. The ones who do not are usually not refusing, they are just busy, forgetful or waiting on someone else to approve the bill. A steady, polite follow-up routine gets most of those invoices paid and keeps the customer calling you next year. Chasing in a burst of frustration after three months of silence does the opposite.

Where Past-Due Invoices Come From

Declined Cards: Fixing a Failed Pressure Washing Payment From the Customer App covered one source of open invoices. The others are customers who pay by invoice and have not gotten to it, commercial accounts with slow payment processes, and the occasional customer who has a question about the job and has not asked it yet.

Each of those needs a slightly different touch, but they all start the same way: someone has to notice the invoice is late and do something about it on a schedule.

Step One: Let the Reminders Run

PressureWashingBossPro follows up on past-due invoices by text and email. That handles the most common case — the customer who meant to pay and forgot — without anyone in the office lifting a finger. A reminder with the invoice and a way to pay online from the customer app is often all it takes.

Automatic reminders also take the emotion out of it. A reminder that goes out on schedule is not personal. It is just how your company does billing, the same for every customer.

Step Two: A Personal Text

If the reminders have not worked, send a short message from the office through two-way texting. Make it easy to answer:

Asking whether the job looked good does two things. It gives a customer who has a complaint a chance to raise it, which is far better than silence. And it reminds a customer who was happy that they were happy.

If the customer does have a concern, the before-and-after photos on the job help settle it quickly. See Before-and-After Photos and Billing Questions on Pressure Washing Jobs.

Step Three: A Phone Call

Some customers do not read texts. A short call after the reminders and the personal text usually settles it. Keep it friendly and specific: the address, the date, the amount, and how to pay. Offer to take a card over the phone or point them to the customer app.

The call is also the moment to suggest a card on file for next time. “If it is easier, we can keep a card on file and charge it when the job is done, so you never have to think about it.”

Step Four: Decide on Future Work

If an invoice is still open after all that, the question is no longer how to collect it, but whether to keep washing for this customer. Most owners settle on a simple rule: no new work for an address with an old open balance until it is paid.

For recurring customers, that matters a lot. A yearly house wash or a monthly storefront will come due on the Waiting List again whether or not the last invoice was paid. Before scheduling it, check the balance. Washing a storefront for a fourth month when the first three are unpaid is just lending money.

What you do beyond that — collections agencies, small claims, liens — is outside billing software and depends on where you work. Talk to someone who knows local rules before taking those steps.

Commercial Accounts Run on Their Own Clock

Commercial customers often pay on a cycle set by their accounts payable department, and their idea of late may not match yours. Set expectations when you sign them up: when statements go out, who receives them, and when payment is due. Monthly statements in PressureWashingBossPro put every location on one bill, labeled by address, which makes it easier for the customer to approve and pay in one step.

If a commercial statement is late, the first call should usually go to whoever processes payments, not the property manager who hired you. Ask whether they have everything they need.

Keep It Routine

The point of a routine is that you do not have to decide anything when an invoice goes past due. The reminders run, the office sends a text, someone makes a call, and if nothing works, new work waits. Look at open invoices once a week and do a fuller review at month-end.

PressureWashingBossPro handles the automatic reminders and keeps every open invoice, text and job photo in one place. For the rest of billing, visit the pressure washing invoicing software page.
