Billing Night Commercial Routes: Pressure Washing Invoices Ready Before the Manager Opens

Commercial pressure washing happens when nobody is around. Drive-thrus get washed after the last car, storefront sidewalks before the first customer, parking garages when the deck is empty. The crew works while the office is closed and the customer is asleep. That makes billing harder in one specific way: nobody who pays the bill sees the work happen.

Commercial Clients, Commercial Hours

HOA Billing for Pressure Washing: Common Areas, Quarterly Visits and One Statement covered communities where residents see the work during the day. Night routes are the opposite. The proof has to travel with the bill, because nobody was there to watch.

A Typical Night Route

Many pressure washing companies run one rig on residential work during the day and another on a commercial route at night or early in the morning. On the dispatch board in PressureWashingBossPro, that second rig has its own list for the night: storefronts, drive-thrus and dumpster pads in route order, auto-routed from the shop or arranged by hand.

Each stop on the crew's phone shows the job details and access notes: “Drive-Thru, Dumpster Pad · Hot Water,” the spigot location, the enclosure code, and “manager leaves at 11, do not start before.” The crew works the list top to bottom.

Complete, Photos, Invoice

At each stop, the crew takes before-and-after photos in the crew app and taps Complete. Two things happen at that moment:

By morning, every stop the crew completed overnight is already billed or queued for the statement. Nobody in the office has to reconstruct the night from a text message or a paper route sheet.

Bill What Was Done, Not What Was Planned

Night routes do not always go to plan. A car parked across the drive-thru lane all night. A dumpster enclosure locked with a new padlock. A storefront where the spigot was turned off. The crew taps Skip with a note on those stops instead of Complete.

Because billing comes from completed jobs, skipped stops do not end up on the invoice or the statement. The office sees each skip with its reason in the morning and can contact the customer and reschedule. That keeps the bill accurate without anyone having to remember which stops were missed. If the skip was weather-related, see Rain-Outs and Re-Washes: How Pressure Washing Companies Handle Billing When the Job Changes.

Photos Are the Receipt

For night work, before-and-after photos are not a nice extra. They are the proof the job happened. A store manager who arrives at 6am and sees a clean drive-thru knows something happened. An accounts payable clerk two states away looking at a statement does not.

Photos saved with each job, at each address, give both of them something to look at. When a manager emails asking whether the dumpster pad was done last week, the office pulls up that address, opens the visit and sends the photos.

The Morning Check

A short morning routine closes the loop on night routes:

  1. Look at last night's route on the dispatch board. What was completed, what was skipped?
  2. Read the skip notes and contact those customers to reschedule.
  3. Check any jobs where the crew added a note about extra work, like gum removal a manager asked for, and add the line item.
  4. Glance at any card-on-file charges that did not go through.

That takes a few minutes, and it means the billing from every night is settled before the next one starts.

Crew Hours and GPS

Night routes are also where owners most want to know what is happening without being there. The crew app has a time clock, so crew hours are recorded as they happen. Crew GPS shows on the office map. Together with completed jobs and photos, that gives the office a clear picture of the night even though nobody from the office was awake for it.

Billed by Sunrise

Night commercial routes bill best when billing happens at the moment of Complete. Card-on-file clients are charged, monthly clients get the visit added to their statement, skipped stops stay off the bill, and every line has photos behind it. PressureWashingBossPro does that from the crew app. For the rest of billing, see the pressure washing invoicing software page.

Night Routes, Billed by Morning

PressureWashingBossPro bills every completed commercial stop the moment the crew taps Complete, with before-and-after photos on each job.
