Invoices From the Job: Billing a Pressure Washing Customer Before the Rig Leaves
Plenty of washing companies still bill at night. The owner gets home, opens a laptop, looks at the day's jobs, and types up invoices from memory and a stack of notes. It works until it does not: a patio gets forgotten, a sales tax line gets skipped, or a job never gets billed at all. Creating the invoice from the job, at the moment the crew finishes, removes that whole evening routine.
Complete Creates the Invoice
Payment is covered in Charging the Card on File When the Washer Taps Complete. This guide is about the invoice itself, which is created at the same moment.
When the washer taps Complete in the crew app, PressureWashingBossPro creates the invoice from the job. The line items come from the job, which usually came from an approved estimate, which was built from your own service list. House wash, driveway and walks, roof soft wash, deck, fence, gutter brightening, rust and gum removal: whatever you set up. Sales tax is added according to your settings. Nobody retypes anything.
Where the Customer Sees It
The invoice shows up in the customer app, where the customer can see it, see what it covers and pay it online. If their card on file was charged at completion, they see it as paid. If not, they can pay from their phone in a minute.
Because the customer also got the arrived text and maybe the on-the-way text, the invoice lines up with a visit they already know about. It does not show up days later with a date they have to think about.
Add-Ons on Site
Washers get asked for extra work all the time. “While you're here, can you do the patio?” “How much to get the rust off the driveway?” “Can you hit the fence too?” This is good money, but only if it ends up on the invoice.
The process that works:
- The washer tells the customer yes, it can be added, and lets the office know with a note or a quick call or text.
- The office adds the extra as a line item on the job from your service list, so the price is your price, not one the washer made up on the driveway.
- The washer does the work and taps Complete.
- The invoice includes the add-on, and the card on file is charged for the full amount if the customer is set up for it.
The order matters. If the washer taps Complete before the add-on is on the job, the invoice goes out without it. Then the office is chasing a second payment for work that is already done.
For add-ons the customer wants to think about, like a roof soft wash or a full fence restoration, the better path is an estimate. The office builds it from your service list, the customer approves it online, and the approved estimate becomes its own scheduled job with its own details. That keeps big decisions off the driveway and gives the customer time to say yes properly.
When the Job Changes
The same rule applies when less work gets done than planned. A car on the driveway, a locked back gate, a deck the customer decided to skip. The washer notes what was not done, the office removes it from the job, and the invoice comes out right. A customer billed for a driveway that is still dirty is a customer who calls, and maybe one who leaves.
Notes and photos make this easy. “Driveway not done, truck parked on it, photo attached” is all the office needs.
Monthly Commercial Statements
Commercial accounts work differently. A restaurant group with five drive-thrus, a shopping center with storefronts and dumpster pads, or an HOA with common areas can be set to Monthly. Each visit still creates its record when the crew taps Complete, but the account gets one statement each month covering every location, with each line labeled by address.
That keeps the manager from getting a dozen separate invoices, keeps your office from sending them, and gives the account one clear bill to approve. The crew does nothing differently on the phone. They tap Complete at each stop just like a residential job. Commercial work at night is covered in Commercial Night Routes on the Pressure Washing Crew App: Drive-Thrus, Dumpster Pads and Storefronts After Close.
Following Up on the Rest
Most invoices are paid on the spot by card on file or soon after from the customer app. For the ones that are not, past-due follow-up reminds the customer for you. The office's job shifts from creating and sending every invoice to dealing with the few exceptions.
