Customer Communication in a Pressure Washing Business: Texts, Reminders and Replies

Most customer complaints in a pressure washing business are not about the washing. They are about not knowing. Not knowing what day the crew is coming. Not knowing the cars needed to be moved. Not knowing the job was rescheduled for rain. Good communication fixes most of that before it starts, and it does not have to mean the owner on the phone all evening.

Communication Is a Procedure Too

Standard Procedures for a Pressure Washing Business: Plants, Windows, Outlets and the Walk-Around covered how the washing gets done the same way every time. Communication works the same way. Decide what customers hear, when they hear it and who answers, and then let the system send the routine messages.

Before the Job: Set Expectations

The night-before reminder is the single most useful message you can send. It tells the customer the crew is coming tomorrow and gives them time to do the things that make the job go well:

In PressureWashingBossPro, reminders go out automatically by text and email. Customers pick their own alerts: the night before, when they are next, and when the crew arrives. Customers who want fewer messages get fewer, and the ones who want to know everything get that.

When something matters for one specific job, add a quick text from the office on top of the reminder. If the address notes say the spigot is inside the garage, a line asking the customer to leave the garage open saves the washer a wasted trip. Commercial customers like a heads-up too, especially if the crew is coming early in the morning or after close.

On the Day: On the Way and Arrived

When a washer heads to a job, the crew app sends an automatic on-the-way text. When they get there, an arrived text goes out. The washer does not have to type anything. For customers who are home, it means they are not surprised by a trailer in the driveway. For customers who are at work, it means they know the job is happening.

The customer app adds a live route view: “You're stop 12 of 20 — the crew is 5 stops away.” Customers can check where the crew is instead of calling the office to ask.

Two-Way Texting From the Office

Customers reply to texts. They ask if you can do the patio too, or whether the crew can come after lunch, or what to do about the cat. Those replies need to land somewhere a person can answer them.

Two-way texting from the office keeps those conversations in one place instead of on a washer's personal phone. Anyone in the office can see the thread and reply. Plans include a monthly text allowance of 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew. Keep messages short and plain, and the allowance goes further.

Rain, Delays and Skipped Jobs

Weather is part of washing. When a job has to move, tell the customer quickly and plainly: “Rain today, we've moved you to Thursday. Reply if that doesn't work.” Most customers are fine with a delay. What they do not like is finding out by noticing nobody came.

When a washer has to skip a job on site, like a locked gate or a car blocking the driveway, they tap Skip in the crew app with a note. The office sees the reason and can text the customer and rebook. A clear note turns a skipped job into a quick fix instead of a confused phone call.

After the Job

When the washer taps Complete, the invoice is created and the card on file can be charged. Customers can see invoices and pay in the customer app. That is also the moment to ask for a rating or a review, while the clean house is fresh. Reviews get their own guide in Getting More Reviews for Your Pressure Washing Business.

Follow up on questions or concerns quickly. A customer who points out a missed spot and gets a fast, friendly fix often becomes more loyal than one who never had an issue.

Tone and Timing

Write like a person, not a corporation. Short, friendly and specific. Avoid late-night texts unless the customer started the conversation. Keep the same voice across the office, the reminders and the washers. Customers notice when a company sounds like itself every time.
