PressureWashingBossPro Blog — Billing & Payments

Moving Pressure Washing Billing Off Paper Invoices and Venmo

Almost every pressure washing company starts the same way. A carbon-copy invoice book in the truck, a payment app on the owner's phone, cash in the console and a notebook for who owes what. It works fine for the first season. Then the customer list grows, a second rig goes out, a shopping center wants a proper invoice, and the notebook stops being a system.

Who Handles It Matters; So Does Where

Who Handles Billing? Office Roles and Billing Duties in a Pressure Washing Company was about dividing billing work between people. That is hard to do when billing lives in the owner's truck and on the owner's phone. Moving it into one system is usually the first step.

The Signs You Have Outgrown It

One or two of those is a nuisance. Several together is lost money.

What Changes When Billing Moves

In PressureWashingBossPro, billing is part of the same system as estimates, jobs and routes. That changes a few things right away:

A Practical Switching Plan

Switching does not have to happen in one weekend. A simple order works for most companies:

  1. Import your customers. A CSV import brings in names, phone numbers and addresses, and the addresses are placed on the map automatically.
  2. Build your service list. House wash, roof soft wash, driveway & walks, deck, fence, gutter brightening and anything else you sell, with prices, plus minimum charges and trip fees.
  3. Set up recurring work. Yearly house washes at 365 days, monthly storefronts at 30, HOA common areas at 90.
  4. Set up commercial clients with each location as an address and the client set to Monthly.
  5. Set up sales tax the way your accountant recommends.
  6. Start new jobs in the new system. Let the crew tap Complete and watch the invoices appear.
  7. Collect old invoices the old way. Do not try to re-enter last year's paper. Finish collecting it, then retire the invoice book.

Getting Customers on Card on File

The biggest win from moving off paper and payment apps is card on file. Each existing customer you move to card on file is a customer you never chase again. Text your customers a link to the customer app, where they can add a card, see invoices and pay online. New customers who sign up through your website sign-up form enter a card as part of signing up. Some customers will still want to pay by check or cash for a while. That is fine; the invoice still comes from the job, so you can still see who owes what. Over time, more of them move to the app.

What to Tell Customers

Customers rarely mind the change. A short message does it: “We have moved to a new system for invoices. You will get an itemized invoice after each wash and can pay online or keep a card on file in our customer app.” Most customers find it easier than what you had before.

Commercial customers usually welcome it even more. A property manager who used to get a handwritten invoice per storefront now gets one monthly statement with every location labeled by address, which is the kind of bill their accounts payable desk is set up to approve.

One System Instead of Five

Paper invoices, a payment app, cash, a notebook and memory work for a while. Moving billing into one system with your jobs, customers and routes makes it faster, clearer and shareable. PressureWashingBossPro handles invoices from jobs, card on file, online payment and monthly statements. For the full picture, see the pressure washing invoicing software page.

Retire the Invoice Book
