Choosing Pressure Washing Scheduling Software: What to Check Before You Switch

Plenty of software will put a job on a calendar. Far less of it understands that a pressure washing job is a roof or a driveway or a dumpster pad, that rigs carry different equipment, that recurring commercial work has its own rhythm and that half the week can move when it rains. Before you switch, it pays to test the things that matter in this trade specifically.

Start From Your Current System

If you are coming from paper or a spreadsheet, the switch itself is covered in Moving Pressure Washing Scheduling Off Paper, Whiteboards and Spreadsheets. This article is about choosing what to switch to. The checklist below works whether you are leaving paper or leaving generic field-service software that never quite fit.

1. Does It Know What a Pressure Washing Job Is?

Generic field-service software gives each job an address and a notes box. Ask whether the software has real fields for:

And whether those details show on the schedule and the crew's phone, and carry over from the estimate. Without them, you cannot size a day by looking at it.

2. Can You Dispatch by Rig?

Look for a dispatch board that shows jobs by day, lets you assign each job to a rig, and filters by rig so you can see one trailer's day at a time. Check that moving a job to another day or rig updates the crew's phone without a separate message. Saved views and printable route sheets are small features you will use daily.

3. Does It Route From Your Shop?

Ask how routing works. Can you auto-route a day from your shop? Can you choose the direction, like Closest First or Furthest First? Can you then set the order by hand for timed stops, and does the crew see exactly that order? Routing that cannot be adjusted by hand does not fit commercial work with opening hours.

4. How Does It Handle Recurring Work?

For many pressure washing companies, recurring commercial work is the base of the business. Check:

5. What Happens When It Rains?

Ask for a demo of moving a full day of jobs. How many steps does it take? Does the crew see the change? Can you text affected customers from the office, and do replies come back to you? Can crews skip a job with a note in the field, and does that skip come back to the office?

6. What Does the Crew App Look Like?

Your crew will use it more than you will. Check for: jobs in route order, a navigation button, job details and access notes on every card, Start / Skip / Complete, before-and-after photos and a time clock. Check how crews log in and whether it runs on the phones they already have. PressureWashingBossPro's crew app runs in the browser on iPhone and Android, installs to the home screen, and uses a company login plus a personal PIN.

7. What Do Customers See?

Automatic on-the-way and arrived texts, alert choices for customers (night before, when they are next, when the crew arrives), and a customer app where they can see their place on today's route, request service and pay. Ask about texting allowances: PressureWashingBossPro plans include 500, 1,000 or 2,000 segments a month, sent and received, on Start, Pro and Crew.

8. What Does It Really Cost?

Compare the full price, not the starting price. Are scheduling, routing, the crew app and the customer app included, or sold as add-ons? PressureWashingBossPro plans are Start at $59, Pro at $89 and Crew at $199 per month, with scheduling and routing on every plan and a 14-day free trial with no credit card.

Test It on a Real Week

The best test is your own schedule. During a trial, import a slice of your customers with CSV import, set up your rigs, and build next week on the board. Move a rain day. Route a commercial morning. Send yourself the customer texts. You will learn more in that week than from any feature list. The complete guide to pressure washing scheduling software walks through every piece, and the PressureWashingBossPro scheduling and routes page shows how it fits together.

Test It on Your Own Week
