Choosing Commercial Pressure Washing Software: What to Check Before You Switch
Most pressure washing companies start with spreadsheets and paper, or with generic field-service software that was built for plumbers and electricians. That works for a while. Then the commercial side grows. A dozen monthly drive-thrus, a couple of shopping centers, an HOA or two, a fleet yard. Suddenly the spreadsheet of last-washed dates is the most important document in the company and the one most likely to be wrong.
Start With How You Get Paid
The previous guide, Past-Due Follow-Up on Commercial Pressure Washing Accounts, covers the last step of the commercial cycle. When choosing software, it is worth starting from that end, because billing is where generic tools usually fall short for commercial work.
Ask whether the software can send one statement per account per month covering every location, with each line labeled by address. If the only option is an invoice per visit, a restaurant group with five stores means five invoices a month or a lot of manual work. PressureWashingBossPro does this with monthly account billing: set the client to Monthly and the statement covers everything.
Checklist: Accounts and Locations
- Many addresses per client. A shopping center, restaurant group, HOA or fleet owner should be one client with every location under it.
- Job details per address. Surfaces, square feet, surface type, method and access notes, specific to each location.
- Satellite measuring. Square feet from the property map, so bids and job details use real numbers.
- Tags and custom fields. For account types, PO numbers, store numbers and contract dates.
- CSV import. To bring an existing list of commercial locations in, with addresses placed on the map automatically.
Checklist: Recurring Work and Routes
- Recurring by cycle. Each location should come due on its own, from a minimum number of days between visits, not from a calendar booked months ahead.
- A view of everything that is due. PressureWashingBossPro uses the Waiting List, a map and list of due visits colored not due yet, due now and overdue past a 7-day grace.
- Routes by rig. Filter the dispatch board by rig, auto-route from the shop, reorder by hand for opening times, save views and print route sheets.
- Residential and commercial together. If you do both, they should share one system so the office sees all the due work in one place.
Pay special attention to how skipped and delayed visits are handled. In some tools, a visit booked on a calendar simply disappears when the day passes. In a cycle-based system, a skipped visit stays due until someone completes it, and the next one is counted from the actual completion date. That difference decides whether a rainy week leaves holes in your commercial accounts.
Recurring visits are covered in detail in 30-Day and 90-Day Visits on the Waiting List: Recurring Commercial Pressure Washing.
Checklist: The Crew and the Manager
- A crew app that works in the dark. Stops in route order, a navigation button, job details, access notes and past notes on every card. PressureWashingBossPro runs in the browser on iPhone and Android with no app store download, and crew members sign in with a company login and personal PIN.
- Start, Skip and Complete with skip notes that reach the office.
- Before-and-after photos saved with each visit on the account.
- Time clock and crew GPS for early, solo routes.
- Two-way texting from the office, so manager conversations stay with the account. Check the monthly text allowance too: PressureWashingBossPro includes 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew.
Checklist: Bids and Billing
- Estimates from your service list, with job details attached and templates or packages for common bids.
- Online approval, with the approved bid becoming scheduled work.
- Estimate follow-up that goes out on its own.
- Card on file, charged on completion or on a schedule, plus online payment from the customer app.
- Past-due follow-up and reports by account.
Check the Fit Honestly, Then Try It
No software fits every company. PressureWashingBossPro is built for owner-run pressure washing companies with a rig or a few rigs doing recurring commercial and residential work. Large industrial plants and municipal contracts with their own compliance and reporting requirements are outside the typical use. If that describes most of your work, look for a tool designed for it.
For everyone else, the best test is your own accounts. Pick a handful of commercial clients, add their locations, set their cycles and run a couple of weeks of commercial routes through the trial. Watch whether the Waiting List brings the right visits due, whether the crew can work from the phone without calling, and whether the monthly statement looks like something your client's accounts payable would happily pay.
Plans are Start at $59, Pro at $89 and Crew at $199 a month, and every plan starts with a 14-day free trial with no credit card. To see the commercial features in one place, go back to the commercial pressure washing software page.
